How Scan & Email works with our Registered Address Service

With our Registered Address Service you can opt to have incoming official mail  opened, scanned and emailed to your account email address. This is perfect to keep all those official letters as digital files. It also means you can receive and access them anywhere in the world. As with all our services, the mail is processed and forwarded the same working day as it arrives. That means using this service you get to read and obtain the mail the same day it arrives! 

How it works:

  1. Mail arrives and is sorted for your account.
  2. We open and attach a small barcode that identifies your account in our system to the first page of each official letter. 
  3. The letters are then scanned into our processing server, this preforms OCR (Optical Character Recognition) on the scan and makes the PDF (Portable Document Format) searchable!
  4. We then send you an email with a link to download the PDF from our secure server, the link will expire after 30 days. 
  5. The original hard copy is then held for ten working days, so you can request the forwarding of the original if its required. 
  6. If the original is not requested, its securely destroyed by cross-cut shredding. 
We do not allow the constant requesting of documents after being scanned. When opting for the service it is supposed to be the primary and only method of forwarding. Of course we expect the occasional time when the hard copy will be required or its something like a certificate that is important to keep. We will happily get these forwarded to you. If you more often than not wish to have the hard copy, this is not the option for you.
